Wouldn’t it be great if you could just have a paperless office? While the consumption of paper has been reduced with technology, there are still occasions when you have to print documents, such as those required by law, or some other important material that you have to have in your hand. This means that you have to have an office printer, but it certainly doesn’t mean that you buy just any printer. It is essential to get a high quality printer for your office because poor quality will only let the business down and will not last for long. When you are making an investment, you want to get as much return from it as possible and this can only be done when you buy the right printer.

But, how do you go about choosing one? What are the factors that should be considered? Read on to find out:

  • Decide the type of printer

There are two primary options at your disposal when you start your hunt for an office printer; inkjet or laser. There was a time when the price difference between the two was massive, but not anymore. Now, the decision is based on what kind of output you are looking for and the ink you wish to use. Printer products, such as toner and ink cartridges can vary in terms of cost, so you should opt for one that works for you.

What functions do you require?

Some businesses may find a printer and photocopier suitable for their needs, while others prefer an all-in-one printer, which can fax, scan, photocopy and print. You need to consider the existing equipment you have and the one that your office uses frequently. This can help you in making your choice. For instance, if you already have a scanner, there is no need for you to get a printer that provides one.

Consider the image quality

If you are going to print images, you need to give thought to your business’s needs. Are you a writing company that only needs to print text or are you a design company that needs to print high quality images to show to clients? You don’t want to get a low quality printer when you are looking for high image quality.

Don’t forget print speed

One of the biggest issues with older printers is that they are extremely slow. Modern printers, on the other hand, can produce a massive number of pages in a single minute. While this may not be relevant when you have just a single printing task, but when you require multiple documents, it can become a major concern. Therefore, you need to check the speed of the printer before you invest in it.

Connectivity

If you don’t want to restrict your printer to a single device, you may want to consider getting a wireless printer. This can be connected to any device, including your smartphone, and then documents can be printed easily. If you need this feature, you will have to shop for a wireless printer. Otherwise, a regular printer would work.

Paper handling

Depending on the kind of paper you wish to use, you would have to buy an office printer accordingly. If you want to print on photo paper or cardstock, you are going to require a different kind of printer than one that prints on regular paper. The sizes of the paper are also relevant because not every printer can accommodate paper of different sizes.

Along with these factors, you should consider your budget and then you will be able to purchase the right office printer for your needs.
